Professional services and commercial transformation – UK research-intensive university

What happened?  The institution’s cost base was no longer sustainable, with costs exceeding revenue and projected to worsen in future years.. With a significant political spotlight on the institution, SUMS was asked to support the improvement journey.

Our approach: We benchmarked spending by function and activity, assessed service maturity across the operation, and ran targeted workshops with the senior management cohort to identify where existing provision was either duplicated or adding cost without positively impacting strategy.

The outcomes: £9m in recurrent cash savings identified and now in implementation, with a sustainable operating model for the future identified and opportunities highlighted for potential shared services with other organisations.

Procurement Value Assessment (PVA) – UK higher education institutions

What happened? SUMS has delivered the PVA across many Universities seeking improved value from non‑pay expenditure.

Our approach: Our  Procurement Value Assessments are based on detailed analysis of institutional data to identify inefficiencies, demand drivers and savings opportunities.

The outcomes are simple: Improved value for money, spend visibility and stronger commercial governance.

Shared services and collaboration – UK higher education providers

Including a research-intensive and a teaching-focused institution

What happened? Institutions wished to explore the potential of AI-enabled shared services and multi-partner collaboration to increase resilience, reduce overall cost and modernise service provision through the latest technologies.

Our approach: We supported the feasibility planning within executive teams for more radical changes to operating models, including the options appraisals and plain-English implementation guides that set out the detailed, sequenced methodology to follow in order to increase readiness for greater automation, AI and potentially corporate restructuring.

The outcomes:  Automation and AI-enabled pathways now in implementation, supported by thorough understanding of required governance, dependencies and risks.

Frequently asked questions (FAQs)

SUMS knows the higher education sector inside out and we have lived experience of how universities operate, their commercial concerns and how best to address them. We understand how institutions actually operate – the governance, the politics, and the competing priorities. Our consultants have all held senior operational roles inside universities, or as experts advising universities from commercial consultancies. That means there’s no learning curve when SUMS starts an engagement. We also bring benchmarked data from across our membership, so our recommendations are grounded in what’s working elsewhere in the sector rather than in generic commercial theory.

The SUMS team includes specialists who have led mergers and shared service functions both within and outside HE, as well as finance, procurement, estates and professional services functions within institutions. We also work closely with SUPC, our procurement consortium, which manages over 130 frameworks for 215 member institutions – giving us a depth of procurement data and market intelligence that no other HE consultancy can match.

We’ve delivered procurement value assessments, professional services reviews, operating model redesign and shared services feasibility studies across dozens of universities. The nature of our commercial practice means that we work in partnership with each client to deliver an optimised, bespoke solution grounded in our tried and tested products, methodologies and experience.
