Universities are continuing to see high numbers of extenuating circumstances (EC) applications and most academic appeals also relate to previously undisclosed ECs. We are frequently asked: how can we make these policies and processes more efficient and effective? How can we ensure equity for students and maintain academic standards? 

There are practical considerations here, where the primary aim is to reduce case volume and improve the student and staff experience. Evaluating these processes can also lead to more strategic conversations around inclusive assessment design and proactive student support. 

Our approach

SUMS takes a collaborative and holistic approach to EC and Academic Appeal reviews. We have developed a framework of 10 elements that a university should consider when evaluating ECs or Appeals. This enables us to deliver recommendations that we know are sector-relevant but unique to each university’s specific context. 

Working with you

When we work with universities to evaluate their Extenuating Circumstances and/or Academic Appeals processes, we are able to identify opportunities for short and longer-term improvements. 

In the short-term, we offer practical advice on how to make guidance clearer and more accessible for students (and frequently for staff too!) As a result of our reviews, universities we’ve worked with have established task and finish groups to improve student communications on these topics in short turnaround times. 

Our longer-term recommendations encourage universities to consider contextualising their approach within wider institutional principles and strategic aims. This results in an improved understanding across the university community that these processes exist in a bigger ecosystem of student assessment and support.

ECs and Academic Appeals Review – Ulster University

SUMS collaborated with staff to review Extenuating Circumstances and Appeals. Our recommendations helped Ulster to focus on streamlining current processes, releasing time for academic staff, providing access to better data and ensuring fair and proportional outcomes for students.

Extenuating Circumstances subject matter expert support – University of Reading

We provided critical friend support and subject matter expertise for the university’s ongoing process improvement work on Extenuating Circumstances. This helped to identify short-term improvements to student guidance and shaped longer-term thinking about the process. 

Student Engagement with Academic Procedures – Keele University

Keele commissioned SUMS to explore how and why different groups of students are involved in appeals, discipline and academic misconduct procedures. This included providing detailed analysis of three years of casework data to identify trends and help inform future interventions.
